A dental virtual assistant can take over the front desk work that happens on the phone and in the practice management system: hygiene recall, appointment confirmations, unscheduled treatment calls, insurance follow-up, patient messages and online reviews. Check-in, payments at the window and all chairside or clinical work stay in the office. Sign a business associate agreement first.
A dental virtual assistant can take over any front desk task that does not require a person physically in the office. That includes recall and reactivation calls, next-day confirmations, scheduling and rescheduling, follow-up on unscheduled treatment, claim status checks, patient portal messages and review requests. The in-office team keeps the window, the phone overflow during the morning huddle, and anything clinical.
Here is how most offices split it:
| Task | Hand off to the virtual assistant? | Notes |
|---|---|---|
| Hygiene recall and reactivation calls | Yes | Works the overdue list daily |
| Confirmations for the next day's schedule | Yes | Calls the unconfirmed after the text goes out |
| Scheduling, rescheduling, filling cancellations | Yes | Uses the ASAP list in the practice management system |
| Unscheduled treatment follow-up | Yes | Calls patients with diagnosed, unscheduled treatment |
| Insurance claim status and resubmissions | Yes | Follows a written payer list |
| Insurance eligibility and breakdowns | Yes | See the verification guide linked below |
| New patient intake forms | Yes | Sends and chases forms before the visit |
| Review requests after visits | Yes | From an approved template |
| Greeting, check-in, collecting copays | No | Happens at the window |
| Explaining a treatment plan or a diagnosis | No | Dentist or treatment coordinator |
| Chairside assisting, sterilization, X-rays | No | Licensed clinical staff only |
The insurance rows can grow into a full job. Before you assign them, read the options for dental insurance verification and decide whether verification belongs with the assistant, with software, or with both.
The front desk never gets to recall because recall is the only list nobody complains about when it slips. Patients at the window, ringing phones and a hygienist asking about the next patient all win over a call to someone six months overdue. A dental virtual assistant fixes that by owning the outbound lists with no window to watch.
Recall is also where the schedule gets made or lost. A hygiene chair that is booked out three weeks feeds restorative work to the dentist. A chair with holes in it does the opposite. The assistant's daily routine can be simple:
Pair it with a confirmation and waitlist routine, and the same person protects tomorrow's schedule while building next month's. Our piece on confirmation and recall workflows has the cadence many clinics start from.
A dental virtual assistant cannot do anything clinical or anything that needs hands in the office. Chairside assisting, taking radiographs, sterilization and patient care belong to licensed dental staff. The assistant also should not explain a diagnosis, recommend a treatment option or answer questions about pain or medications; those go to the dentist, hygienist or treatment coordinator.
The gray area is case acceptance. An assistant can call a patient with unscheduled treatment, offer times, and send financing information the office already uses. When the patient asks "do I really need the crown?" the call goes to the treatment coordinator or the dentist. Write that handoff sentence down and practice it in training.
Before a dental virtual assistant opens a patient record, the office needs a business associate agreement with whoever provides the assistant. HIPAA counts administrative and practice management services involving protected health information as business associate work. The office may share PHI only after getting satisfactory assurance that it will be safeguarded, and subcontractors who touch PHI must be covered too.
The agreement must set permitted uses, require safeguards and breach reporting, pass the same restrictions to subcontractors, and require return or destruction of PHI when the arrangement ends, where feasible. Our HIPAA and business associate agreement guide covers each piece.
Access setup follows the minimum necessary standard, which asks for reasonable efforts to limit PHI to what the purpose needs. In practice: a user role in Open Dental, Dentrix, Eaglesoft or whatever you run that shows the schedule, contact details, recall and treatment plan status, and insurance screens. Clinical notes and images can stay hidden unless a specific task needs them.
Hand off tasks in the order that protects the schedule first and adds complexity later. Start the dental virtual assistant on confirmations and recall in week one, add scheduling and cancellations in week two, then unscheduled treatment and insurance follow-up once the assistant knows your fee schedule, your payers and your providers' preferences.
| Week | Tasks added | Check before moving on |
|---|---|---|
| 1 | Next-day confirmations, recall list | Every attempt logged, no double bookings |
| 2 | Inbound scheduling overflow, cancellation list | Correct appointment types and lengths |
| 3 | Unscheduled treatment calls, intake forms | Handoffs to the treatment coordinator are clean |
| 4 | Claim status, resubmissions, review requests | Notes in the ledger match the payer call |
For comparison with an in-office hire, the BLS May 2025 median annual wage was $38,010 for receptionists and $45,930 for medical secretaries and administrative assistants.
Time zones work in your favor. A dental office on Eastern time with an assistant in Bogota or Lima shares the same clock all winter and runs one hour apart in summer. An office on Central time shares the clock with Mexico City in winter and is one hour ahead of it during U.S. daylight time. When you have the handoff list ready, you can hire a dental front office assistant who keeps your hours.
Look for a dental virtual assistant who has worked a U.S. dental schedule before, knows at least one dental practice management system, and can explain the difference between a recall appointment and a restorative visit without coaching. Phone manner matters more than typing speed, because most of the assistant's value comes from calls patients actually answer and finish.

Most dental desks have a recall list nobody finishes. Remote Latinos builds the screening for a dental assistant around that list, your practice management system and your recall rules, and vets front office professionals in Latin America against it. You interview the finalists and choose. Learn how we staff medical and dental administrative roles, or find a dental virtual assistant for your recall and confirmation lists.

A dental virtual assistant handles the phone and computer work of the front office from a remote desk: recall and hygiene reactivation calls, appointment confirmations, unscheduled treatment follow-up, insurance claim status checks and patient messages. Chairside work, sterilization and anything clinical stay with your licensed team in the office.
Yes. Most dental practice management systems can be reached through a secure remote connection or a cloud version, and each lets the office set user permissions. Give the assistant a login limited to scheduling, the patient ledger view and the insurance screens the tasks require.
If the assistant is provided by a vendor and will see patient information, the vendor is a business associate under HIPAA. The office needs a signed business associate agreement before sharing any protected health information, and the vendor must get the same assurances from any subcontractor.
Start from the lists. If recall, unscheduled treatment and claim follow-up together fill most of a work week, go full time. Remote Latinos defines full time as 30 to 40 hours a week and part time as 15 to 25, which fits an office that mainly needs recall and confirmations covered.
